Purpose

To outline the data collection process and responsibilities for the annual Teaching Index.

Procedure

This procedure requires actions by the following: This procedure consists of the following steps:

Executive Officer, Office of the Provost

MANAGE TEACHING INDEX PROGRAM
  • ensure an annual budget is available for the Teaching Index
  • publicise the opportunity and deadlines to participate in the Teaching Index
  • ensure there is an efficient mechanism for the annual collection of data
  • liaise with relevant staff regarding verification of the Teaching Index returns
  • report annually to the Senate Learning and Teaching Committee on Teaching Index points and funds by organisational unit
  • create an annual University file for the Teaching Index and file reports, audit information and any relevant financial information

Learning and Teaching Awards and Grants Officer, Office of the Provost

ASSIST STAFF
  • train staff in interpretation of the Teaching Index criteria and use of the Integrated Research and Information System (IRIS) system
  • troubleshoot and liaise with IRIS help desk staff regarding access to IRIS and data quality issues
  • maintain the Frequently Asked Questions (FAQs) and the Teaching Index website
  • respond to queries regarding the Teaching Index
  • collect verification evidence from each organisational unit
  • undertake third level verification within IRIS
  • audit Teaching Index returns

Departmental / Faculty / Centre / Office Staff

COLLECT  AND ENTER DATA
  • collect data and evidence for the annual Teaching Index
  • enter data into IRIS
  • for criteria such as TI-B, TI-C, TI-D. TI-G, TI-H, TI-I, TI-J, TI-K, TI-M and TI- N, ensure that the relevant contact, lead researcher or first author enters the data for the award, grant or publication, including the names of all members on the team
  • where the award, grant or publication has not yet been entered into the Teaching Index for the year, work with the relevant contact to complete this activity
  • liaise with the Learning and Teaching Awards and Grants Officer to agree the pre-validation of Teaching Index returns before the Teaching Index cut-off date
  • provide documentary evidence to the Learning and Teaching Awards and Grants Officer by the deadline ( 31 August) for the Teaching Index audit

Budget Officer, Office of the Provost

CALCULATE AND DISTRIBUTE TEACHING INDEX FUNDS
  • calculate total points for each organisational unit submission
  • convert points into appropriate dollar amounts
  • create Teaching Index accounts
  • transfer Teaching Index funds to the relevant organisational unit.  Payment will be a year in arrears and be made as early as possible in the year to allow organisational units time to commit and spend Teaching Index funds

Head of Department

COMMIT TEACHING INDEX FUNDS
  • spend Teaching Index funds on processes to enhance Learning and Teaching
  • report to the Senate Learning and Teaching Committee on expenditure of Teaching Index funds.
